How to Organise an Event

Holding an event is a fun and rewarding way of raising vital funds for Jersey Hospice Care. No matter whether your event is large or small, the team at Jersey Hospice Care will be on hand to offer advice and provide useful promotional materials. Top Tips

Be Realistic

  • Don’t be over-ambitious.
  • Ask other people who you know have done similar things for advice. Ask them what worked for them and what didn’t.

Set Objectives

  • The best way to engage people and get them involved in your event is to communicate clearly why you are raising the money and what the funds raised will do for Jersey Hospice Care. 
  • Set a target and tell everyone how much you plan to raise; get people excited and you will probably exceed your target!

Involve Others

  • If you are planning a larger project, set up a committee to help manage the event - as well as sharing the work, getting a group together means more contacts and ideas to help make the event a success!

Plan Ahead

  • Think about the group you want to attract and how best to fit the event into their interests. Be aware of other factors, such as likely weather conditions, school and Bank Holidays, other major events and availability of venues at different times of year. When choosing a venue also consider key points such as car parking, facilities, access and safety, and whether you might need a licence. Try and find a free venue to maximise your profit!

Value for Money

  • Make sure that your prices are fair. If people feel they are getting value for money, they are more likely to come to any future events.

Sponsorship

  • Try and find a sponsor to cover some or all of the event costs, enabling you to raise even more funds - in return you can feature the sponsor’s support on your posters and publicity materials. If you are undertaking a challenge, rather than holding an event, take your sponsorship forms with you everywhere you go - never miss an opportunity to collect pledges!

Publicity

  • Indentify the group you want to attract and use posters, in-house publications, individual letters and local press to publicise your event - you can download the Jersey Hospice Care logo below to use on your material. Use your own contacts and those of your team to spread the word.

Keep in Touch

  • It helps if you keep in contact with the people who have supported you. Send them an update email or produce a one-page newsletter telling them about your progress. After the event, send them a thank you letter, perhaps with a photo from the event. Your supporters will feel part of your team and may commit to your future fundraising activities!

After the Event

Please:

  • Send the money you have raised to Jersey Hospice Care marked for the Fundraising Department.
  • Remember to include your name and address so that we can thank you.
  • E-mail or send us photos of the event so that we can put them in Hospice News or use them for promotional purposes.
  • Write thank you letters to all those who have supported you, volunteered or gave you financial help.
